POSITION SUMMARY:

Responsible for day-to-day maintenance and professional appearance of the CMA office and event space.  Manage the use of the CMA Event Space and serve as the primary liaison with groups or individuals who contract to use the room.  Serve as primary contact with building’s property management company.


ESSENTIAL FUNCTIONS:

  • Maintain event space calendar bookings, process payment receipts and refund deposits, and oversee setup and teardown for events.  Oversee event space cleaning and maintenance.  Communicate any audio visual needs to the IT team.  Provide event space users with MPR rules, MPR contract, lists of preferred caterers and audio company to hire.  Ensure that space users complete Formstack providing specific information about the event no later than 2 weeks prior to the event date.  Prepare monthly report of event space utilization for management.
  • Manage and oversee Receptionist and ensure proper execution of day-to-day duties including answering phone, data entry for Operations, and intern payroll process.  Serve as primary backup for receptionist and oversee coverage of reception desk when receptionist is out of the office.
  • Oversee cleaning and maintenance of items that are included in CMA’s lease agreement and items that CMA is independently responsible for providing.
  • Develop and maintain an effective working relationship with the staff of the building’s property management and security companies as well as other outside vendors (recycling, shredding, coffee services provider, etc.) as needed.
  • Ensure professional, clean appearance of all CMA spaces:
  • Maintain cleanliness of all conference rooms by daily clearing and straightening of tables, chairs, desks and organization of CMA marketing and promotional materials on display in each room.
  • Oversee nightly janitorial and day porter cleaning and maintenance of CMA office and event space.  Communicate any deficiencies that cannot be resolved directly with the building’s property management staff.
  • Oversee all in house building cleaning and maintenance including conference room stocking/maintenance, breakroom cleanliness.
  • Oversee consistent cleanliness of entire CMA space including dusting of chairs, pictures, cabinets, lights, ceilings and windowsills as well as sweeping of floors, maintenance of carpets, and cleaning of furniture as needed.
  • Maintain cleanliness of 2 prep kitchens and 1 breakroom by daily cleaning of trash cans, removal of filled recycle bags, refrigerators, microwaves, tables, counters and floors.  Oversee daily loading/starting and emptying of dishwashers.  Maintain stock of all supplies.
  • Maintain live plants both inside and outside of the building.
  • Coordinate building and equipment repairs with building’s property management staff and oversee the process to ensure satisfactory result.
  • Ensure that all office supplies are properly stocked in all 3 workrooms.  Oversee Receptionist ordering of any necessary items.
  • Order and re-stock all vending products including coordinating monthly Pepsi order, rotation of stock based on expiration date, and oversight of chill chamber inventory. 
  • Oversee the inventory of all building, office, janitorial and kitchen supplies and manage reorder and restocking.
  • Oversee tracking of ongoing parking consumption and securing additional spaces as needed.
  • Develop and oversee office Emergency Response plan.  Coordinate emergency response team, training, and drills.
  • Compile necessary bids and negotiate rates for any leased items in operations including postage machine, coffee machines, water filter machine, recycling, and shredding.
  • Responsible for recommending, negotiating pricing, and ordering of all furnishings for CMA office and event space.
  • Develop and manage operations budget for office and building supplies.
  • Oversee and approve operations invoices for payment in M Files.
  • Oversee onsite management of logistics for staff meals during Fest and Awards.
  • Secure and manage Finance and Administration intern.
  • Conduct new employee walk through and orientation of office and event space to ensure employees gain an understanding of CMA space. 
  • Oversee process of providing new employees with: elevator and parking garage key card and access code, name tag, workspace name, and business cards.
  • Add new employees to Country Music Hall of Fame membership list.
  • Oversee CMA holiday décor including decoration of Christmas tree, wreaths and stage garland.
  • Organize closets throughout the building for maximum utilization of space and storage.
  • Other operations projects and duties as assigned.

 

EDUCATION AND EXPERIENCE REQUIRED:

  • High school diploma or GED
  • Minimum three years of experience, preferably in building/office operations.
  • Familiarity with basic legal terminology.
  • Experience with Microsoft Office Suite. Basic level of competency with Word and Excel.


KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Ability to work independently, prioritize and effectively manage multiple tasks to meet deadlines.
  • Ability to juggle multiple high priority projects simultaneously.
  • Strong attention to detail.
  • Great organizational skills.
  • Excellent interpersonal skills including ability to establish and effectively manage relationships with staff, service providers, vendors, and event space clients.
  • Proficiency in Microsoft Word, Excel and Outlook.

 

 PHYSICAL DEMANDS/REQUIREMENTS:

  • Typically bending crouching or stooping as well as sitting and standing at a desk or table and walking
  • Frequent lifting of objects weighing 25 to 50 pounds
  • Work environment contains dust, dirt, grease, etc.
  • Ability to distinguish between shades of color
  • Climbing of ladders
