Job Posting - Industry Relations Coordinator

The Country Music Association (CMA) is looking for a highly motivated, organized, and collaborative Industry Relations Coordinator to join our Community Outreach team.

As the Industry Relations Coordinator, you’ll work closely with both the VP and Manager of Industry Relations to plan and execute all CMA industry pipeline development programming while providing executive assistant support as needed. These relationships will be characterized by effective communication and willingness to aid and support the growth of the program(s).

Working in partnership with Manager of Industry Relations, you’ll be responsible for the planning and execution of industry pipeline development program logistics while multi-tasking between various administrative and support tasks. You will be responsible for the coordination and programming for industry pipeline development programs including oversight and execution of CMA EDU.  You’ll be scheduling speakers, vetting member applications, servicing curriculum materials, and facilitating ongoing communication with members. The ideal candidate would be detail-oriented, well-organized, forward-thinking, and embody a mentorship persona. This is a full-time, non-exempt, position that will at times exceed 40 hours per work week. Travel may be required.

ESSENTIAL FUNCTIONS:

Oversee all details and day-to-day administration of the industry pipeline development program, including but not limited to:

  • Manage application and selection process including reviewing application materials.  Make participant selections and/or recommendations in order to ensure a diverse and well-rounded class.
  • Plan and execute regular development opportunities for participants
  • Manage and execute annual summit
  • Handle all related communication needs including performing everyday correspondence, responding to inquiries, and assisting participants with routine questions/needs
  • Serve as an industry resource by assisting with internship and job placement efforts for students, recent graduates, and industry partners
  • Develop content for and send two monthly newsletters:  one for current participants and one for alumni
  • Oversee capstone project including providing individualized feedback to participants, providing direction for all aspects of the project, conducting multiple rounds of check-in meetings and following up with resources.  Oversee final presentations.
  • Oversee social content development and execution in order to maintain and grow and engaged audience
  • Coordinate webpage content updates through digital team
  • Gather program related information for press releases and CMA Close Up Magazine; work with Communications team to generate publicity opportunities.
  • In coordination with Research team, perform research and gather and analyze data relating to current students, former students, and the pipeline development program brand as a whole
  • Collaborate with Community Outreach and Partnerships teams on any partnership opportunities within the industry pipeline development program
  • Strategize on behalf of the industry pipeline development program to ensure all programming and opportunities are aligned with and optimize the impact of CMA business objectives
  • Solicit and expand participation in the industry pipeline development program

Provide Executive Assistant administrative support to Department Head, including but not limited to:

  • Draft presentations and prepare communications on the department head’s behalf
  • Organize and coordinate meetings, including scheduling, sending reminders, drafting agendas, writing minutes, and placing catering orders (when relevant)
  • Assisting with department head’s calendar management, including scheduling meetings and prioritizing the most sensitive matters
  • Perform minor accounting duties including submitting invoices, creating expense reports, and reconciling credit card statements
  • Make travel arrangements

Perform other Departmental Duties as assigned, including but not limited to:        

  • Assist with CMA internship program as needed
  • Assist Community Outreach team with creating and adhering to all department budgets
  • Provide support to CMA Foundation team as needed and during event times
  • Support staff needs for student volunteers and temporary staff
  • Other duties as assigned

KNOWLEDGE, EDUCATION AND EXPERIENCE REQUIRED:

  • Bachelor’s degree from an accredited college or university
  • Minimum two years’ experience in student development, training or any equivalent combination of experience and training that provides the required knowledge, skills and abilities
  • Knowledge of social networks (i.e. Facebook, Instagram, Snapchat, and Twitter) to manage communication with a young, vibrant student constituent group
  • Ability to juggle multiple high priority projects simultaneously
  • Strong attention to detail

PHYSICAL DEMANDS/REQUIREMENTS:

  • Typically sitting at a desk or table
  • Occasional lifting of light objects (less than 24 pounds)
  • Intermittently sitting, standing or stooping
  • At several times throughout the year you will be expected to work off-site and outdoors
  • Frequent computer use
  • Work is primarily performed in an office
  • Occasional travel may be required
